Step-by-step guides for running a venue on ClubManager, organised by what kind of venue it is and what happens on an ordinary day — first login and setup, then the flows staff repeat every shift.
Guides by venue type
Gaming club — tables, sessions, café sales, bookings and member wallets from one desk.
Hotel — check-in a guest, in-room dining or games, and checkout.
Gym — a new member joining, membership fees, door check-in, classes and PT, supplement sales, retention.
Café — walk-in orders and table service.
Shop — recording a sale and restocking.
A day in a gaming club
Start the day: clock in with Start shift, so attendance is recorded automatically. Check the dashboard for collections, low stock and open alerts, then review bookings and the waitlist for the evening.
Run a game session: open Live Games, pick a free table, start the session. Time and rate are tracked for you.
Café counter: take the order and put it on the table’s running bill rather than a separate one.
Close the day: end shift reconciles cash collected against what was expected.
How the platform is put together
One login, one venue. Each staff account belongs to one club. Owners see configuration, staff and financial controls; operators see only the tabs assigned to them.
Start and end shift. Operators clock in from the header. Ending a shift reconciles cash collected against expected, and a large variance can require a second person to approve it.
Approvals (maker–checker). Sensitive actions — voids, refunds, staff permission grants, cash variance — can be sent to a queue for a second pair of eyes, switched on per action.
My work. Staff see their shift, roster, holiday requests and anything waiting on their approval in one place.
Setting up
Setup starts in Config: confirm the venue name, GSTIN and opening hours, add staff and give each of them only the tabs they need, then set up tables and rates. Approvals are optional and can be turned on for the actions you want a second signature on.
